Accounts Payable and Payroll Clerk

This position is responsible for performing one or a complete and systematic set of transactions in a specific phase of accounting. (I.e., Accounts receivable, accounts payable, credit and collections). Duties include but are not limited to check preparation and record verification, preparing invoices and vouchers; maintaining files, posts ledger and general journal entries and/or balance accounts payable and accounts receivable records. Uses office-automated systems to input data, generate reports, conduct specialized research projects and respond to inquiries. May reconcile difficult accounts.

Essential Functions

The essential functions include, but are not limited to the following:

Administer and/or maintain one or a combination of generally accepted accounting systems. May systematize and examine financial reports, journal entries, maintain and reconcile ledger accounts. Provide record of assets, liabilities and other financial transitions. Provide basic accounting procedures; financial statement preparation, month end closing.

Specific Duties

  • Prepare journal entries and general ledger maintenance.
  • Check and approve all vouchers for payment.
  • Prepare invoice deduction notices, as necessary.
  • Respond to vendor inquiries.
  • Analyze vendor accounts and negotiate extended terms when needed.
  • Prepare accounts payable checks.
  • Print all accounts payable reports and maintain all accounts payable files.
  • Prepare analysis of accounts, as required.
  • Assist with monthly closings.
  • Assist with accounts receivable and special projects, as necessary.
  • Process payroll for biweekly payroll of ~48 people to include calculating payable hours, bonuses, and deductions.
  • Ensure adherence to all payroll related local, state, and federal tax laws and procedures (Work with payroll provider on resolving tax issues).
  • Manage year-end activities, including reviewing W2s, federal and state quarterly/annual returns, deposits, state IDs, etc.
  • Maintain employee confidence and protects payroll operations by keeping information confidential..

Knowledge, Skills and Abilities

  • Basic Accounting procedures: (A/R, A/P, time billing, P/R, G/L, tax payments and inventory control)
  • Working knowledge in financial statements. (I.e., monthly and quarterly financial reports such as weekly forecast to management summarizing current and projected financial position)
  • Proficiency in Month end and quarterly closing (i.e., balance sheets, income statements and cash flow statements)
  • Journal entries and general ledger maintenance
  • Prepare supporting schedules for financial statements preparation
  • Assist CPA with annual close by preparing required reports and issuance of 1099s.
  • Make available financial data for management team and clients upon request.
  • Assist with special accounting projects from time to time.

Minimum Qualifications

  • Bachelor?s degree in Accounting or other relevant discipline preferred
  • 5 to 7 years of overall Finance or General Accounting experience. 2 + years, which should be in progressive accounting experience in public accounting or similar work environment.
  • Knowledge of accounting processes required.
  • Strong organization, oral and written communication skills.
  • Demonstrated ability to work with minimal supervision and administer multiple projects and deadlines.
  • Strong computer aptitude, which includes expertise with Microsoft Excel and Word as well as experience with accounting software.
  • Experience with general ledgers. Possess analytical skills with particular attention to detail.
  • Current experience working within human resources or administration: 5 years relevant experience minimum.
  • Multi-state payroll experience in the lead role preferred.
  • Demonstrated track record for handling sensitive employee matters with professionalism and integrity.

Education and/or Experience

Bachelor?s degree in Accounting or other relevant discipline preferred.

Ability to calculate figures and amounts, such as discounts, and percentages.

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
